Let your assistant fill in customer table columns
Your assistant can write down details a customer shares in a conversation, such as an email address, an age, or what problem they want solved, into custom columns on the CRM page. It does this quietly in the same turn and still replies to the customer as usual: recording a detail never replaces or delays a reply.
Turn it on for a column
Only admins can change this, from the gear panel on the CRM page under Workspace columns:
- New column: when you add a custom column, tick The assistant fills it in conversations. An optional When to fill it note (up to 280 characters) tells the assistant when the column applies — for example "Only once they have booked a call" or "Ask for it if they want a quote".
- Existing column: in the custom column list, choose Let assistant fill and add the optional note. Columns the assistant fills are marked Assistant fills; hover the mark to read the note.
- Change the note: choose Edit on the column. Besides its name (and its choices, for a single-select column), you are asked for the note.
- Turn it off: choose Stop assistant filling. Values the assistant already recorded stay in the table.
You can also ask the Consultant to set this up for you; it prepares a proposal for an admin to approve (see consultant-proposals). The proposal card shows Assistant fills it and When to fill for the column.
What the assistant records
- Only details the customer actually said. It does not guess or invent values.
- Values that fit the column's type: a date as a calendar date, a number as a number, a yes/no for a checkbox, and for a single-select column only one of its choices. A value that does not fit is not recorded.
- It does not ask the customer for a detail just to fill a column, unless your note tells it to.
- It never clears a cell. If the customer gives a different value later, it records the new one.
The assistant only writes these columns. Their values never change how it replies, never move a customer between phases, and never trigger messages or automations.
Who wins when a person edits the same cell
The most recent change wins, whether it came from a team member or from the assistant. If the assistant records the value a cell already holds, nothing changes and the cell keeps the name of whoever entered it. Hover a cell to see when it was last updated and by whom; a value the assistant recorded reads Set by assistant. Team members can still edit these cells by hand, as with any custom column (see phases-table).
Who can see these columns
What the assistant records comes from the customer's conversation, so once a column is filled by the assistant it is treated like conversation content: only team members who can read that customer's conversation see its values. A team member with table-only access does not see the column. This stays true after you turn the assistant off for that column, for every value in it.
Contact details
The assistant can also save a customer's first and last name, email, phone, Instagram username, or time zone when they share it, only if none is on file yet (see assistant-contact-details).
Notifications and webhooks
When the assistant records a value or a contact detail, open CRM pages update
straight away, and your customer.updated webhook fires if you have one set
up (see outbound-webhooks). Recording a value the cell already holds, or a
contact detail already on file, sends nothing.
