Use the Yapper consultant

What the consultant does

The Yapper consultant helps owners and admins understand how their account is configured and how it is performing. It can inspect your Playbooks, phase setup, prompts, Handbook, account tools, recent conversations, and usage totals.

The consultant reads only the account of the person who starts the session. It cannot inspect another business's account and it never messages your customers.

The consultant tells you when a request is not possible through consulting mode and points you to the closest available action. Before preparing a change, it checks your current setup and Consultant proposals. If the same change is already pending, it points you to the existing proposal instead of creating another one. It also explains when a requested change is likely to hurt your results and offers a safer alternative.

Start a consulting session

Open Yapper Support from the Inbox and select Start consulting session. The pane shows Consulting mode — usage billed for the entire session. Consultant and Curator usage is included up to a monthly amount; beyond it, usage is charged in Yapper credits.

During an active consulting session, a message can contain up to 64 KiB of text, so you can paste substantial configuration or diagnostic material directly into the conversation. You can also attach files (PNG or JPEG up to 4 MB, PDF up to 32 MB and 600 pages; large images are scaled down before upload) with the attach button in the message box, or by dragging a file onto the conversation or pasting one into the message box. The file waits above the message box, where you can see what you picked, type a caption to go with it, or remove it before sending. The Consultant reads attachments alongside your question, including the text and layout of a PDF. Images appear in the conversation; a PDF appears as a named file you can download again later. Each session has room for about 50 slide pages or 60 full-size screenshots that the Consultant reads directly. A larger file is handed to the Consultant as a file it opens and searches instead, up to 20 such files (200 MB in total) per session. The Consultant's copies of your files are deleted when the session ends, and the stored uploads after 7 days.

An empty consulting thread offers starters for reviewing your Phase flow, improving Playbook replies, or finding setup that may be hurting reply outcomes. A starter puts a question in the message box for you to review and send. The Consultant can inspect your account and prepare recommendations or proposed configuration for approval; it does not make a change while you chat.

Consultant access is off by default. Only the workspace owner can enable or disable it from Admin → Billing. Owners and admins can start consulting sessions after the owner enables access.

This holds even if your workspace runs on its own API key. The Consultant always runs on Yapper's own model access rather than your key, so usage beyond the included amount is charged in credits and never appears on your provider's bill. Included usage

Consultant and Curator usage is included up to a monthly amount that renews at the start of each billing cycle. Yapper lets you know when you have used 70% and 90% of it, both in the consulting conversation and by email to your workspace admins. Beyond the included amount, additional Consultant and Curator usage is charged in Yapper credits at your rates, and the Yapper Support pane shows Using credits until the next cycle begins.

Select End when you are finished. If a proposal from this session is still awaiting your approval, ending asks you to confirm first, since ending discards it. Resetting the support conversation also ends consulting mode. Outside a consulting session, Yapper Support remains regular support and consultant access is unavailable.

A consulting session that is waiting on you does not stay open indefinitely. After the Consultant hands the conversation back to you, it sends a short reminder after thirty minutes and another after an hour and a half; four hours on, it posts a closing note and ends the session. Any proposal still awaiting your approval ends with it, so approve or reject a proposal you want to keep before then — reply at any point beforehand and the countdown stops. Your history stays in the thread, and a new message starts a fresh session.

When the consultant is working on a long request, you can stop it before it finishes. Stopping ends that piece of work and leaves the consulting session open, so you can carry on asking about something else. Work the consultant already completed, including any proposals it prepared, stays available for your review. You are asked to confirm before a stop goes through.

Follow a request while it runs

A long request can take several minutes. While consulting is on, the banner carries a small status dot so you can tell at a glance whether the consultant is busy or waiting on you.

The banner can show these statuses:

Usage and spend for a consulting session are not shown in the chat. You can review them on your billing and usage pages.

If a message cannot be delivered

If the Consultant cannot start your first request after retrying, that message stays in the chat with: The Consultant couldn’t start this request. You haven’t lost your message. Select Try again to send that same message again, or End consultation to leave consulting mode.

If a later message cannot be delivered, its message shows a similar delivery notice with the same choices. Your message remains in the chat in both cases; you do not need to type it again.

The session status can also show Interrupted — send again to resume when the Consultant’s current work is interrupted. That status applies to the session as a whole, while a notice beneath one of your messages applies only to that message.

If the Consultant's working environment cannot start after retrying, Yapper closes that consulting session instead of leaving a partially working session online. Start a new consulting session to retry; your existing chat history remains in the thread.

The Start control is available only to an owner or admin on an account with Consultant access enabled.

Ask about your metrics and campaigns

During an active consulting session, you can ask the Consultant about reply outcomes, escalation rates, model token usage, send success, account-tool activity, and Phase movement for a date range of up to 92 days. You can also ask it to review your Meta templates, recent broadcasts, Schedules, and per-recipient campaign outcomes.

These tools read only the account you are signed into. They do not send messages or change campaigns. Model-usage answers are operational analysis; use Admin → Billing for the credit amount charged to your account.

Example questions include: “What was my escalation rate this month?”, “Which model used the most tokens?”, “Did send failures cluster on one channel?”, and “How did my last broadcast or Schedule perform?”

Ask why the assistant replied a certain way

When a reply did not come out the way you wanted, you can ask the Consultant to look into that specific conversation. It can search your recent conversations for the wording you remember, read the conversation to see what was actually said, and reconstruct the instructions the assistant was working from at that moment — which is usually what explains the reply. From there it can tell you which part of your setup produced it and propose a change.

Searching works backwards from the most recent conversations, so telling the Consultant which sender or roughly when it happened gets to the answer faster and costs less than a broad search. The Consultant reads only conversations belonging to the account you are signed into — the same ones you can open yourself in your Inbox.

Ask for a full audit

During an active consulting session, ask the Consultant for a full account review. An audit can take several minutes and costs more than a regular consulting chat turn. How much more depends on how much work the account review turns out to need, so the exact cost is not known before it starts. The Consultant explains the audit and asks for your explicit agreement before starting it. Only one audit runs in a consulting conversation at a time.

The audit may ask one follow-up question in the same support chat. Your next reply goes directly to the paused audit so it can continue or stop with the right context. When the audit finishes, the Consultant posts a completion summary to the chat and may prepare proposals. Review proposals from the summary's proposal links. A proposal never changes your account until an owner or admin reviews and approves it.

Audits use your selected Playbook, Phases, Handbook, account tools, campaign configuration, and aggregate metrics, and may read your conversations when diagnosing why a reply came out the way it did. Audits never send customer messages. Findings that could become learned guidance go through the existing rate-and-review flow instead of changing that guidance automatically.

While a team member's audit is in progress, their role cannot be changed below admin and they cannot be removed from the workspace. Wait for the audit to finish, or have them end their consulting session, then retry the change.

An audit's cost builds up while it works rather than being charged in full when it starts, and Yapper tracks what the audit has used so far as it goes. Stopping an audit stops it adding to that total, so you are only charged for the work it had already done.

If you end your consulting session while an audit is running, an audit that finishes still posts its findings summary to your support chat. If an audit is interrupted and cannot finish, the Consultant posts a notice in the chat — start it again to retry. Either way you are charged for the work the audit completed.

Recommendations and changes

You can ask the consultant to explain your setup, find a conversation, reconstruct a reply prompt, review a phase graph, or preview usage. It grounds its answer in the account information it reads during the session.

The consultant can prepare recommendations and proposed changes for your review. A proposed change does not update your account by itself. Changes require explicit admin approval in the proposal review flow.

When preparing a larger proposed configuration, the Consultant transfers its draft directly through its protected working connection. The draft remains tied to that consulting session and each revision is reviewed as a new proposal draft; no account credential is shown or requested from you.

When a connection needs an API key, the Consultant directs you to Admin → Developer → API keys. Never paste an API key, password, or token into the support chat. If one is pasted, rotate it with the service that issued it and save the replacement only in the write-only API keys pane. See api-keys.
